We are committed to improving safety and compliance in the workplace. In order to positively influence worker safety, we support the Certificate of Recognition program and augment this baseline through the use of a four (4) step data quality process. We are now able to deliver a comprehensive and seamless process to enhance compliance performance for our members that is industry leading as follows:
- Data Quality Advisor - working with our clients, we have set a minimum standard of mandatory data requirements. Based on these requirements, our Automated Data Quality Advisor reviews each "record" daily and notifies contractors and our help desk that they are non-compliant within the Registry and why. The contractor community is starting to recognize the urgency of this information requirement and rely on this automated Alert process to help them maintain their data records within the Registry.
- Verification & Document Review - A manual data review and verification performed by our Customer Service Representatives. We manually review the HSE questionnaire, their safety statistics and all other Documents provided including: Certificate of Insurance, WCB clearance letters, D&A Policies, Safety Manuals, Incorporation documents, and any other required documents. This manual review allows our team to verify that the information entered in the Questionnaire matches the supporting documentation submitted by the contractor and flag contractors who may need a compliance validation report.
- Compliance Validation Report - More than a document review, certified safety professionals review the contractors' written policy, safety manual and programs as part of the on-going monitoring of their safety performance.
- Our knowledgeable professionals provide an independent review and recommendation to improve the safety performance in a report to the contractor.
- The evaluator´s safety certification and signature on each evaluation provides direct communications channels and fosters continuous improvement of the contractors´ safety program.
- We also complete company specific compliance validation for employers who create their own compliance standard and have them incorporated into the Registry.
- Audits - We work with both internal third party qualified safety professionals and auditors to complete two levels of audit:
- The first level is triggered by the results of the Compliance Validation. The gap analysis may indicate the need to conduct an onsite information gathering. This abbreviated and targeted visit is designed to minimize costs and impact on the worksite while confirming certain protocols are in place.
- The second level of audit in a complete field audit. The employer sets the criteria based on activity and risk. We then prepare a report of all potential candidates that meet these requirements. Once the audit is complete the audit is uploaded and stored on the Registry to be reviewed by those individuals who have proper authorization. The audit action plans are monitored and tracked through our Contractor Tracking Tools.
To comply with the Canadian Privacy Laws, and Employer specific requests, the data providers own their own data inside our Registry. A senior officer with signing Authority must sign off a short legal disclaimer to ensure that a representative of the company has authenticated the information as being accurate and can now be released to Employers.
