In the past few days most of Southern Alberta has experienced extreme flooding from both the Bow and Elbow Rivers, and most of Calgary's downtown has been under mandatory evacuation.We are pleased to announce that the ComplyWorks Management Solution was not impacted and has remained up and running throughout the entire evacuation period with zero unscheduled downtime. All data is secure.

 

 

Due to limited phone support and in order to serve you best we ask that, if possible, you email us for any issues as we will be available for standard Customer Support hours - 6:00 AM MDT to 6:00 PM MDT - at support@complyworks.com. (Unfortunately our Live Support within the system will not be available until further notice.)

Find Newsletters and More in the What’s New tab

With our recent launch we added the What’s New tab, available at any time when logged in to ComplyWorks. Currently this is there to help you navigate the new look and feel of ComplyWorks, but we are improving its capabilities. Soon it will be where you find your ComplyWorks newsletter, useful tips and tricks and more information to assist you from prequalification to payment.

 

User Groups 

Our User Groups have provided us with the exciting opportunity to meet many of our subscribers in person and offer assistance face-to-face. We made our first public appearance in B.C. by visiting Burnaby, and had great success returning to Leduc and Grande Prairie, Alberta and Weyburn, Saskatchewan. There was plenty of open communication that led to questions, helping to bring the discussion to areas that hopefully benefitted all. We were also happy to see great interest expressed for the Premium Subscription and two of its functions: Asset Management and Secure Storage. A key suggestion to add automated alerts to the Asset Management has already been implemented - we highly value your comments and suggestions, so please continue to communicate them to us!

Now Gemini has developed THRIL courses to meet B.C. legislation that will address the growing demand for a more skilled and competent workforce in British Columbia. Asset Management

With our Premium Subscription, ComplyWorks now offers the ability to exchange information between Employer and Contractor on a more in-depth level.

Subscribers – for example, you are able to enter information on each employee regarding their safety training and certification:

Simply pick your Employee and Open/Edit their asset. Fill in the information and upload applicable documents, much as you would in the Questionnaire & Documents. Save when you are complete.

Did you know… coming to an internet address near you.

Soon you may start to see website addresses which no longer follow the traditional format (a few old examples include .com,  .ca or .net). During 2011 & 2012, ICann (Internet Corporation for Assigned Names and Numbers) offered major companies the opportunity to apply for unique domain names. Now corporations will have the chance to offer website address such as .mcdonalds,  .apple or .NYC.  Some of these new domain names will start appearing within the next short while. So don’t be alarmed if you see web addresses with different endings (or their official titles are TLD’s which is short for Top-level Domains) available for sale.

 

If you have a company specific web address such as we have – www.complyworks.com, in the future there may be additional addresses using these new domains that you may need to consider protecting through purchasing. Possible considerations might include an industry or word (in our case we may look at .safety or .solutions) that directly relates to your business. (Visit https://gtldresult.icann.org/application-result/applicationstatus/viewstatus to see the list of names applied for that may come available – none are guaranteed!)

ComplyWorks Management System 5.0

Start taking advantage of the many new features in ComplyWorks Management System 5.0! Released on January 30, CMS 5.0 has a number of upgrades, enhancements and new features for both employing companies and contractors/suppliers. Watch for more announcements in the next few months as our development team puts the finishing touches on a number of new features that employing companies and contractors/suppliers have requested.

Overview Page— When Administrators log in, they now see an Overview page that contains a Messages tab and either a Contractor View or Employer View tab. These make it easier to navigate to important information, alerts, policies and bulletins.

  • Employer View and Contractor View—Employers see a number of compliance reports, with more to be added in the coming weeks. Contractors/suppliers see their overall compliance status, bulletins, and compliance change alerts they’ve received.
  • Messages—This tab brings together all the alerts, verification reports, bulletins, invoices and other communications users have received from ComplyWorks.

Email Validation—When you log in to CMS 5.0 the first time you will be required to verify your email address before you can proceed. This is a new security feature that will also help us keep our user email addresses up-to-date and ensure that you receive any automated system communications, such as alerts and bulletins.

Process Management—RiskWorks has been developed into a robust process management solution that lets you integrate your internal processes into your contractor and supplier management solution. Talk to your account manager if you have a paper-driven process that you’d like to put online.

Online Forums—At our last focus group, employing companies asked for a way to share ideas with their peers. New online forums for employing companies let you start discussions, ask and answer questions, and share innovative uses of CMS.

The ComplyWorks Website Has a New Look

We redesigned the English version of www.complyworks.com to make it easier to navigate and more informative. However, we left the log in button where it was. It’s still in the top left side of the public website’s front page, only now you can log in to your subscription directly instead of being directed to the log in page. Initially, the new website will be in English only, with the French version to follow. In the meantime, you can still go to www.fr.complyworks.com/fr/ .

ComplyWorks 2012 Year in Review

ComplyWorks Management System 5.0

Released on January 30, 2013, ComplyWorks Management System v5.0 (CMS 5.0) included a fresh look accompanied by a number of upgrades, enhancements and new features that were requested by both employing companies and contractors and suppliers. This resulted in a contractor and supplier management solution that gives all stakeholders an enhanced view of their ComplyWorks information, with more ways to communicate and collaborate.

Overview Page — this new page contains both a Messages tab and either a Contractor View or Employer View tab t o make it easier to navigate to important information, alerts and bulletins.

Messages Tab—a new feature that was created to simplify the task of monitoring and organizing alerts, verification reports, bulletins, invoices and other communications received from and through ComplyWorks. Designed to be a ComplyWorks “inbox”, all users now have an uncomplicated way to track and manage their messages.

Employer View or Contractor View—  ComplyWorks designed a new page for employers, contractors and suppliers to organize and display their important ComplyWorks information. This page includes overall compliance statuses, compliance changes, expiration information and more presented in a simple, easy to use way.

Online Forums—At a recent ComplyWorks focus group, employing companies asked for a way to share ideas with their peers. New online forums were created for employing companies which allow them to start discussions, ask and answer questions, and share innovative uses of CMS.

Document Sharing—Employing companies can now share documents and other files with their contractors/suppliers through StorWorks, and even allow files to be uploaded in return. For example, an employing company could share site specific pre-access instructions and directions to all contractors that may be travelling to that site. Alternatively, contractors could provide pricing lists to their employer’s StorWorks, which could be access by the employer’s users.

Process Management—RiskWorks is no longer just for risk mitigation. By working with our clients we have come to see the need to utilize its capabilities in many more areas. This tool has been developed into a robust process management solution that allows for integration of internal processes into the ComplyWorks system.

 

Works will soon become Functions

Works and its products, the section of ComplyWorks where you currently find additional features that assist in managing a number of different processes, are being re branded.  In addition, each of the products will be renamed to better describe how they help Employers and Contractors get ready to work:

Contractors & Suppliers: Remember to Update the Information in Your ComplyWorks Subscription by February 1

Each January, you need to update the information in your ComplyWorks subscription before February 1. If you miss this deadline, your status may show "yellow" (medium risk) to some employers.

When updating your subscription, please pay particular attention to the following important information:

  1. If applicable, update your safety and health statistics with your numbers for 2011.
  2. For all jurisdictions in which you work, ensure your WCB/WSIB/CSST account number(s), WCB/WSIB/CSST industry code(s) and WCB/WSIB/CSST experience rate differential reporting are correct.
  3. If applicable, ensure your COR/SECOR information is up to date.
  4. Update your peak number of employees, which is found in your Required Questionnaire under the Safety and Health statistics section.

Please note that this is not a request for payment. Your subscription is valid until your renewal date regardless of whether or not you update your information.

We're often asked by contractors and suppliers how they can learn more about setting up, using and maintaining their ComplyWorks subscription. While our Help Desk is always happy to answer your questions, contractors and suppliers have told us they’ve saved time in the long run by attending our FREE training webinars.

We now offer two types of training webinars: general and employer-specific. General training webinars can be attended by any of our contractors and suppliers, while employer-specific webinars are only for those contractors and suppliers that perform work for the specified employer. Regardless of which type you attend, you’ll learn how to get your account started, find out about new services that we’ve introduced, and leave the webinar knowing what’s required to keep current and compliant. All you need is a computer, an Internet connection and a phone (audio is delivered via a TOLL-FREE line).

Contractors & Suppliers: Final Deadline to Update the Information in Your ComplyWorks Subscription

Each January, you need to update the information in your ComplyWorks subscription before February 1. If you missed this deadline, your status may now show as “yellow” (medium risk) to some employers. The final deadline for updating your information is February 29. If you miss this deadline, your status may show as “red” (high risk) to some employers.

ComplyWorks Chairman's Presentation to the Toronto Board of Trade

On February 7, 2012, Ivan Holloway, Chairman of ComplyWorks, spoke at the Toronto Board of Trade event: Alberta Oil Sands - Fueling Canada's Economy. Part of the Accenture Energy Series, the event featured Alberta's Minister of Energy, Ted Morton, along with:

  • Ivan Holloway, Chairman, ComplyWorks
  • Dave Theriault, SVP, In Situ and Exploration, Laricina Energy
  • Lynn Zeidler, VP, Operations and Project Services, Horizon Oil Sands

The theme of the event was the economic benefits that have been created across Canada as a result of oil sands development. Mr. Holloway spoke about innovation in sustainable business practices that have been driven by the oil sands and are now being adopted by industries across Canada and worldwide.

2011 Year-End Review: A Year of Sustainable Growth for Employers, Contractors/Suppliers and ComplyWorks

Our annual review of system usage, product enhancements and customer successes shows that 2011 was a year of sustainable growth for both ComplyWorks and our customers. Examples include:

  • A return-on-investment by one customer of $500,000 immediately after implementing the ComplyWorks Management System.
  • Another customer cut its yearly worker's compensation fines from $160,000 to zero.
  • More employing companies taking advantage of online orientations, with a record 56,248 individuals taking an orientation.
  • ComplyWorks staff grew by 43%.

The average total recordable incident frequency (TRIF) of our subscribers decreased for the sixth year in a row, from 3.28 in 2005 to 1.53 in 2011, a decrease of 53%.

Canadian Oil & Gas Industry Alert: CEPA Section 71 Reporting Deadline is May 18

Are you affected by the CEPA Section 71 requirement to report on use, manufacture or import of 63 petroleum streams that include common LPGs and natural gas condensates? For a complete list, click here . Failure to meet the May 18, 2012, deadline could result in steep fines and other penalties. However, meeting the May 18 deadline will be difficult if you don’t have a system in place to identify which of the products you use, manufacturer or import. Customers that currently use MSDSWorks can use the tool to help them meet the reporting requirements. If you don’t use MSDSWorks, it’s not too late. Canadian Construction Industry Alert

If you work in the construction industry in Ontario, Canada, new legislation concerning Workplace Safety and Insurance Board coverage may affect you. Starting in 2013, WSIB coverage will be mandatory for independent operators, sole proprietors, some partners in a partnership and some executive officers who work in construction. Although the coverage isn’t mandatory for another 9 months, some of our employers are requiring those affected to pre-register for coverage. Click here for more information or to pre-register.

On March 20, 2012, Cal Fairbanks, President and CEO of ComplyWorks, presented "Beyond Compliance: Leveraging Contractor Management" to the Greater Houston Service, Transmission, Exploration & Production Safety Network (S.T.E.P.S.). In the talk, Cal outlined the need to take contractor and supplier management beyond prequalification and ensuring they comply with government regulations and corporate policies. Effective, sustainable contractor and supplier management must manage contractors/suppliers throughout the supply chain in order to better mitigate risk and drive continuous improvement. Driving this need to move beyond compliance is the fact that companies can outsource work to contractors/suppliers, but not liability.

If you haven’t logged in to ComplyWorks since April 15, the next time you log in you’ll see a screen on which you can set personal security questions. Once you’ve set up these questions, they’ll be used to let you reset your own password if you forget it instead of having to contact us for assistance. ComplyWorks Recognized For Innovation—Again!

Last September we told you that we’d been recognized as one of Calgary’s most innovative companies by TechRevs. Well, we just received another award for innovation. On May 10, BOMA Calgary announced that ComplyWorks was the recipient of the 2012 Pinnacle Innovation Award, and that we’re finalists for the national award to be presented at the BOMEX 2012 conference on September 12 in Ottawa, Ontario. ComplyWorks Management System 4.0 Released

If you’ve logged in since May 1, you’ll notice that we made some changes to the ComplyWorks Management System (CMS) with the release of CMS 4.0. Based on customer feedback, we added new features and enhancements designed to add value for employers and contractors/suppliers. These include:

Streamlined account setup—The questionnaires that contractors/suppliers use to provide information have been reorganized to make it faster and more intuitive to complete.

Enhanced securityThe addition of familiar security questions will enable individuals who have forgotten their passwords to access their accounts without the aid of ComplyWorks Customer Support.

Super Matrices—Employers with multiple compliance matrices, such as for individual business units, regions or contractor/supplier categories, can combine contractor/supplier statuses from all matrices into a single view.

Automated worker's compensation clearance—Employers can check on a daily basis whether contractors/suppliers have valid coverage in provinces that support online status checks (currently Alberta, British Columbia, Manitoba, Ontario and Saskatchewan). Note: contractors/suppliers are still initially required to upload a clearance letter for each jurisdiction in which they work.

MSDS Update: Are you ready for GHS and SDS?

On March 20, 2012, the United States joined a number of other countries in announcing that they would replace material safety data sheets (MSDS) with the United Nation’s Globally Harmonized System for Classification and Labelling (GHS). Upcoming deadlines include:

·         December 1, 2013—Employees must have been trained on new label format and the safety data sheets (SDS) that will replace MSDS.

·         June 1, 2015—Manufacturers, importers, distributors and employers must comply, although distributors are allowed to ship products under the old system until December, 2015.

·         June 1, 2016—Updated workplace labeling and hazard communication programs must be in place.

Even if you aren’t in the U.S. or any of the other countries that have adopted GHS, it could affect you if you buy products from the U.S. (or from China, the European Union and other countries that have also adopted GHS).

Outsourcing Oversight: Contractor Management Part of Corporate Governance

Contractors and suppliers must comply with applicable regulatory requirements. Failure to do so could expose the building owners and managers who have hired them to litigation and fines. Beyond that, employers have societal and business obligations to safeguard against workplace injuries, loss of life, environmental damage, financial mismanagement and substandard work.

Good corporate governance involves more than simply meeting regulatory requirements. It should examine relationships with contractors, suppliers and contracted workers throughout the procurement life cycle. That covers prequalification of health, safety and environmental approval through the bid process, mobilization, operations and completion of work, including feedback loops and continuous improvement.

Prequalification procedures gather relevant information and documentation for contractors and suppliers in advance of actual contracting or procurement. This should be an ongoing practice.

In Canadian jurisdictions that allow on-line clearance of worker’s compensation coverage, software is now available to automatically check worker’s compensation status of contractors/suppliers—a service that should also benefit suppliers and contractors by streamlining the provision of valid clearance letters to prospective employers and ensuring that they don’t lose work due to an expired clearance letter.

On-line questionnaires and flexibility for contractors/suppliers to upload required documents simplifies the process. These documents can also be securely shared with other internal and external users to track communication flow between employers and contractors/suppliers and other data on individuals, assets and processes.

Project completion sign-offs, invoices and other transactions should be evaluated against master service agreements, statements of work, service level agreements and other requirements. This can simplify the process of collecting feedback on projects, performance and deficiencies.

Tracking performance measurements over time helps employers to see a fuller picture of what contractors and suppliers bring to the business. Meanwhile, tracking deficiencies and opportunities for improvement is a key step that is too often overlooked. A life cycle approach to procurement and outsourcing closes the gap between the last payment and the next bid call.

The New Data Quality Advisor: Become Compliant Faster

Contractors and suppliers that have made changes to the information in their profiles lately may have noticed our new Data Quality Advisor (DQA). When you publish your data, the DQA will tell you if you haven’t answered the mandatory items or answered them incorrectly. This will make the process of complying with employer requirements significantly faster. For contractors/suppliers, this translates into lower costs and potentially more work from employers, while employers will be able to hire contractors/suppliers sooner and get work done faster.

Three new features were recently added to our online MSDS management solution, MSDSWorks:

Contractor Binders*

·         Give access to specific contractors/suppliers by creating binder structures for them with limited functionality to maintain confidentiality and control.

Exposure Control Product Reference Charts

·         Lists target organs that are affected by product ingredients on health lists, and marks products that contain ingredients from ACGIH Skin Notation 2012 health list.

Labels

·         Label Personal Protective Equipment (PPE) now auto-populates based on Product Use-specific PPEs entered in the Product Profile.

2012 Mid-Year Update: TRIF is Down, Sustainable Growth is Up


Our 2012 Mid-Year Update shows continued growth in customers, system usage and product enhancements. Highlights of the first six months of 2012 include:

·         The average TRIF of subscribers dropped for the sixth year in a row, from 3.28 in 2005 to 1.53 in 2011. This means there were 53% fewer injuries in the workplaces of our employing customers, contractors and suppliers.

  • Our staff grew by 40%.
  • We expanded our Calgary office and opened offices in Toronto and Houston.
  • 6,492 new contractors and suppliers subscribed to ComplyWorks.
  • We received the 2012 BOMA Calgary Pinnacle Innovation Award.
  • InformWorks sent 52,645 auditable communications to contractors and suppliers on behalf of employing companies, a 111% increase over the same period in 2011.
  • 51,279 individuals took an online orientation through CourseWorks, an 82% increase over the same period in 2011.
  • More than 19,000 users logged into the ComplyWorks Management System over 209,000 times, a 66% increase over the same period in 2011.
  • AlertWorks sent 70,059 alerts to inform contractors and suppliers of upcoming expiries, a 76% increase over the same period in 2011.

ComplyWorks Case Study: Reducing Risk and Controlling Spend in Real Estate Management Services

Colliers International Canada (Colliers) manages over a thousand commercial, retail, residential and industrial properties on behalf of clients from coast to coast. In total, the company manages over 47 million square feet of real estate. To do this, it must also manage more than 2,000 contractors and suppliers across Canada that provide a wide range of services, from janitorial and landscaping companies in Vancouver to specialized trades such as HVAC, electrical and plumbing in St. John’s.

Effectively managing contractors is mission-critical for property management companies. If the work of a contractor is defective or there is an incident at one of the properties under a company’s management, its clients will hold it, not the contractor, responsible. Similarly, regulatory bodies and the courts have made it clear that you can outsource work, but you can’t outsource liability. For example, in the event of an injury or property damage involving one its contractors, Colliers, its employees and executives can be sued, fined or even risk a jail sentence. Canadian Construction Industry Alert

If you work in the construction industry in Ontario, Canada, new legislation concerning Workplace Safety and Insurance Board coverage may affect you. Starting in 2013, WSIB coverage will be mandatory for independent operators, sole proprietors, some partners in a partnership and some executive officers who work in construction. Click here for more information.

Changes to Alberta Workplace Safety Legislation

On December 10, 2012, Bill 6, the Protection and Compliance Statutes Amendment Act, received Royal Assent in the Canadian province of Alberta. Changes introduced by the bill include:

  • Administrative penalties of up to $10,000 a day for violations under the Occupational Health and Safety Act.
  • The maximum fine for a first offence under the Safety Code Act increases from $15,000 to $100,000, and from $30,000 to $500,000 for subsequent offences.
  • Enhanced authority of OHS officers on jobsites.
